Sourcing standards

Brand protection is the most important part of selling fragrance online, so every supplier relationship starts with documentation. Before we place a purchase order, we follow the same sequence of checks:

1. We request an authorization letter from the distributor.
2. We ask for chain of custody documents that show the product came from an authorized source.
3. We check whether the brand restricts marketplace sales or requires approval before listing.
4. We confirm that every item is new retail stock, and we never sell testers, samples, or products we cannot document.

When a marketplace or a brand asks about a listing, we answer with the supporting documents for that specific purchase order.

Fulfillment

Our inventory ships to Walmart Fulfillment Services, which receives, stores, packs, and delivers each order from Walmart's own warehouse network. Shoppers get fast shipping and Walmart's return policy, and we can concentrate on sourcing and operations.

Operations software

We already use Claude for analysis and reconciliation work, and we are bringing those workflows together in a single internal platform built on the Claude API. The platform is designed to handle four jobs:

• Purchase order profitability: matching each sale to the purchase order it came from on a first in, first out basis, so we know the actual return on every order.
• Inventory reconciliation: comparing what we shipped to Walmart's warehouses with what Walmart reports as received, sold, and returned, and documenting any gap for a claim.
• Supplier price matching: comparing distributor price lists of several thousand items against marketplace demand to decide what to buy next.
• Document reading: pulling line items from supplier invoices, receipts, and settlement reports with Claude's vision capabilities to replace manual data entry.

We designed each of these tools while running our own store, so every feature answers a question we needed answered as a seller.
